Use a simple To Do list for smaller actions, and use calendar appointments for work tied to a specific time.

This separation prevents the inbox from becoming an accidental task manager. Messages remain communication records; tasks and appointments become the places where future work is reviewed.

Keep contacts beside communication

An integrated address book makes names, email addresses, phone numbers, websites, and notes available while composing messages. Reusable signatures and business-card details also reduce repeated typing. The benefit is small on any one message but substantial across everyday correspondence.

Connect desktop and online calendars when needed

Some people want a focused desktop organizer but still need appointments available through Google Calendar. Calixy includes Google Calendar syncing so calendar information can stay connected without turning every organizing task into another browser tab.

Protect the supporting information

Daily planning frequently depends on account credentials. A password keeper and password generator can keep those records close to the work while avoiding scattered notes.
